Reporting to Head of IT & Admin/HR Director

What You'll be Doing:

The Receptionist/Office Assistant role is responsible for managing reception, greeting visitors, handling phone calls and providing general administrative support. This position requires excellent communication, organisational and multitasking skills.

  • Greet and welcome visitors in a professional and friendly manner;
  • Answer, screen and direct phone calls to appropriate personnel;
  • Handle incoming and outgoing mail, deliveries and couriers;
  • Maintain reception and shared areas (such as meeting room, kitchen, stationary room) tidy and presentable at all times;
  • Process expenses for office administration;
  • Order office supplies and ensure inventory is well-stocked;
  • Coordinate office maintenance, repairs and service requests;
  • Represent the Bank on the tenant meetings and feedback to the management team;
  • Book hotels and flight tickets for business trips;
  • Assist with itineraries for Head Office’s delegation or customer group;
  • Maintain training and development records;
  • Assist with recruitment administration activities;
  • Assist with onboarding new employees and interns, including collection of documentation and pre-employment checks;
  • Support event planning and coordination for company functions;
  • General administrative duties;
  • Ad-hoc tasks as required by line managers.

The Skills You'll Need to Succeed:

  • Degree level
  • Mandarin speaking preferred
  • Previous experience in a receptionist or administrative role preferred
  • Excellent written and verbal communication skills in English
  • Have strong organisational and time management skills
  • Ability to multitask whilst maintain accuracy
  • Professional and courteous demeanor with strong customer service skills
  • Proficiency in MS Word, Excel and Outlook
  • Excellent Administrations skills.
