Salary: £37K - £41K plus an annual flexible benefits allowance

Location: London

Working hours: Monday to Friday 9:30am to 5:30pm *5 days in the office

Start date: ASAP

Japanese speaking Secretary and Business Assistant - Responsibilities:

  • Support Executive Assistant to MD as required in delivering support to Senior Management.
  • Assist business entertainment and parties at Company House, involving set up, catering and administer drink list, stock management.
  • Organise complex/ busy schedules for MD’s driver and processing related invoices
  • Settle employee expenses through SAP/Concur System for Corporate and Business divisions.
  • Settle payments through the system.
  • Provide efficient administrative services including filing / scanning / dispatching documents, maintaining the customer lists.
  • Provide efficient secretarial support and diary management to Managers when holiday cover is required.
  • Carry out business trip and travel arrangements for Managers and incoming visitors (including air tickets, hotel bookings, preparation of application for expenses and other associated tasks)
  • Produce and maintain orders and invoices, including allocation to Japan HQs, as necessary. Advising when invoices are due or overdue.
  • Assist hosting Conferences/Meetings
  • Liaise with PAs of external organisations, customers/ suppliers, and internal other departments e.g. Accounts, Treasury, ITS etc
  • Cover the responsibilities of MDO colleagues during team member absences and peak work volumes Undertake local ad-hoc department specific work functions as may reasonably be required. (Such activities may include assisting with event organising and events etc)

 Japanese speaking Secretary and Business Assistant - Requirements:

  • Confidential and discreet in handling sensitive information
  • Familiar with Microsoft Office (Outlook/Word/Excel/PowerPoint)
  • Previous secretary experience
  • Business-level of English and Japanese in speaking ad writing,
  • A strong communicator and establishes and effective working relationships with others – in immediate team and with stakeholders
  • Multi-tasks and manages competing activities simultaneously and within deadlines
  • Excellent time management and organisation skills
  • Strong attention to detail with a high level of accuracy
  • Knowledge of SAP not essential but desirable
