Job title:    EA Team Leader
Location:    Central London
Salary:      £45-50K pa plus potential bonus, private healthcare and pension and attractive package
Skills:      Previous Japanese company work or culture experience is preferred, strong EA background to CEO level or ideally a team of directors, EA Team management experience

Our client a global FMCG organisation is looking for an Executive Assistant to provide support to a small group of senior executives or function heads, and supports the function as required and determined by Function head.

Responsibilities:
•  Additional line management responsibilities of other EAs, on top of EA duties described below
•  Prepare and edit correspondence, communications, presentations and other documents
•  File and retrieve documents and reference materials
•  Conduct research, assemble and analyse data to prepare reports and documents
•  Design and maintain databases
•  Manage and maintain executives’ schedules, appointments including complex travel arrangements
•  Arrange and coordinate meetings and events
•  Record, transcribe and distribute minutes of meetings
•  Monitor, respond to and distribute incoming communications
•  Answer and manage incoming calls
•  Receive and interact with incoming visitors
•  Liaise with internal staff at all levels
•  Interact with external clients
•  Co-ordinate project-based work
•  Review operating practices and implement improvements where necessary
•  Together with the EA team provide support to the office including ordering stationery, sorting post, ordering food and drink
•  Provide back-up support for the EA team in particular during periods of holiday and sickness

Minimum job requirements:
•  At least 5 years proven experience as a EA to a relatively senior person such as CEO, Functional Head, Business unit head, together with their team support – this is what you like doing and want to do
•  Previous EA team line management/ supervisory experience required
•  Previous Japanese company work or culture experience is preferred
•  Bachelors degree is desirable
•  Experience in the Pharmaceutical industry is desirable
•  Knowledge of standard office administrative practices and procedures
•  Proven expertise in successfully delivering administrative support to client groups
•  Ability to project manage and to organise working day to be effective as possible
•  Organisational and planning skills

•  Problem analysis and problem solving skills
•  Judgment and decision-making ability
•  Attention to detail
•  Proven expertise in creating and arranging complex travel schedules
