The Skills you'll need each day:

Who you'll be working for:

Our client is part of a large Japanese corporation, is looking for a PA for the Company Director.

The role is to be responsible for PA / Administrator / Accounts Clerk. Previous PA or office managerial experience is required.

Must have understanding of Japanese corporate working culture.

What you'll be doing each day:

  • Taking telephone calls and transferring to the right person, Taking messages
  • Receiving mail, parcels and any other goods delivered
  • Welcoming guests, guiding to board room or conference room (inc. schedule, preparing drinks, clearing up, etc)
  • Management of kitchen including purchasing mineral water, tea, coffee, juice, etc.
  • Distributing mail, magazines, newspapers
  • Organizing manager's business trips, including meeting appointments
  • Bookings restaurants for managers
  • Arranging flights etc. for managers
  • Extensive research using internet etc
  • Arranging business meeting with clients
  • Manage subscriptions of publications and golf clubs
  • Booking hotels and chauffeurs for guests from overseas
  • Typing letters and reports
  • Keeping and updating clients' addresses in database
  • Sending documents to Tokyo HQ
  • Photocopying, filing and any other secretarial jobs
  • Fielding calls
  • Purchasing stationary inc. ordering business cards, company-headed paper and envelopes, etc.
  • Maintenance of UK office equipment inc. printers, manager's mobiles phones, etc.
  • Dealing with the building manager and site manager of UK office
  • Documentation filing & managing files on database
  • Replying to business letters and emails as required
  • Other secretarial duties
  • Further duties as directed
  • Issuing cheques and keeping records
  • Reconcile cash book and bank accounts
  • Input payments into cash book and arrange remittance
  • Issuing invoices & updating sales allocation databases
  • Producing ledger and management account
  • Producing payment record
  • Filing accounting records
  • Further duties as directed

The skills you need to succeed:

  • Both Japanese and English fluent (written/ read)
  • Previous administration/ reception/ PA/ Team secretary experience preferred.
  • Understanding of Japanese corporate working culture
  • Excellent communication skills
  • The ability to operate with urgency and prioritize work accordingly
  • Excellent interpersonal skills
  • Excellent attention to detail and accuracy
  • A calm approach, with the ability to perform well in a pressurized environment
  • Strong numerical skills
  • Able to confidentially liaise with all levels of the business
