Your New Job Title:            PA for Chief Operating Officer (Japanese speaker)

Your New Salary:              £35,000 – 40,000 (prorata)

Status:                Initial 6 months fixed term contract with the potential of becoming permanent

Location:      West London, Chiswick

Working hours:  37.5 hrs/week

Who you'll be working for:

In this exciting new role, the ideal candidate will be providing dedicated one to one executive assistant support to the COO including complex diary and travel management as well as ensuring the COO receives high quality and proactive support to agreed requirements. Although this is an initial 6 months contract, there is possibility of the role becoming permanent.

What you'll be doing each day:

  • Delegated responsibility for active diary management and inbox (including prioritisation). Actively coordinate and manage the COO’s diary on a minute by minute basis. Maintaining a deep understanding of priorities and proactively managing conflicts, pre-empting clashes as well as juggling complex and multiple changes at short notice
  • Prioritise and follow up on incoming issues and concerns including those of a sensitive or confidential nature. Determine appropriate course of action, referral or response.
  • Plan, arrange and book travel schedules in advance of meetings when requested and communicate details
  • Prepare high level correspondence, background research and reports for or on behalf of the COO including summarising strategic documents to inform planning and preparation for key internal and external meetings, minutes and presentations, collation and distribution of hard/soft copy papers/reports as required
  • Arrange meeting rooms/venues, meet and greet visitors and arrange business catering as appropriate
  • Provide both the ‘gatekeeper’ and ‘gateway’ role, effectively managing and creating access to COO’s time and office
  • Ensure the COO is kept informed of pending/outstanding issues on a daily basis
  • Ensure all key contact enquiries are handled efficiently and effectively, seeking answers and resolving matters personally where appropriate
  • Provide general administrative support including action list support; preparing letters, collating and processing expenses, filing documents efficiently and accurately, shredding confidential information and generally acting as effective support to the COO
  • Liaise with internal stakeholders when required and ensure queries are dealt with quickly and efficiently
  • Attend selected meetings, conferences and events, including flexibility to attend outside of UK normal working hours.
  • Occasionally translate documents and materials from Japanese to English as well as English to Japanese as required including consultation with Japanese ex patriates and local interpreter/translator colleagues

The skills you need to succeed:

  • Educated to degree level or equivalent
  • Excellent IT skills including MS Office, Word, PowerPoint, Excel, Outlook
  • Previous PA experience at senior/corporate level and be a UK based Japanese speaker.
  • Fluent Japanese, English and understanding of Japanese culture and ways of working in a commercial organisation
  • Significant proven track record of working as a successful and proactive PA or Executive Assistant to a Board-level Director
  • Excellent administrative and organisational skills that reflect ability to challenge the status quo, perform and prioritise multiple tasks seamlessly with excellent attention to detail, whilst being aware of the wider context
  • Strong ability to prioritise and focus on getting the job done irrespective of distractions, as well as ability to work well under pressure and in a fast-paced environment
  • Excellent interpersonal and verbal communication skills, with ability to build relationships with stakeholders at all levels including employee, internal and external parties
